These are the terms and conditions for registering for the DigiMUN 2020 conference and partaking in the conference. 

Terms and Conditions


To complete registration Delegate Fees must be paid in full. We will inform you of receipt of payment. By applying to DigiMUN, the participant/delegate agrees to the following terms and conditions. The registration is for the DigiMUN 2020 conference held online on the weekend of the 18th and 19th July 2020.

 

Definitions:

  1. In the following; the term “delegate” refers to any participant, whether part of a delegation or not.

  2. Even if any of the terms specified below should become ineffective, all remaining terms of this agreement remain legally binding.

 

1. On delegate fees

  1. Delegate Fees includes attendance at the conference and the social events.

  2. DigiMUN operates on a ‘First paid, first served’ basis’. Places are not guaranteed until fees are paid in full. Fees are not considered 'paid' until a Receipt of Payment has been issued.

  3. Delegate applications may be rejected at the discretion of the DigiMUN secretariat.

  4. We remain committed to making DigiMUN accessible, so at the DigiMUN secretariat’s discretion and authorisation the delegate registration fee may be waived on a case by case basis. Contact accessible@digimun.co.uk to find out more about this.

  5. All Delegate fees are due no later than 13th July 2020.

  6. Delegate fees are non-refundable except and exclusively in exceptional circumstances of bereavement, illness or with the express authorisation of the secretariat. In these cases a refund will only be given with proof of circumstances. Any refunds made will be paid via the original payment method.

  7. No refunds of any fees will be given in the event of circumstances beyond DigiMUN’s control, such as but not limited to, severe internet disruption or platform failure.

  8. DigiMUN will not pay any banking charges related to payment of fees, the processing of refunds, or any technology costs incurred by participants in the conference.

  9. After payment of the Delegate Fees, country and committee allocations will be allocated to the Delegate. Preferences will be taken into account as far as reasonably possible.


2. Technology:

  1. To partake in DigiMUN, all participants/delegates must have and provide themselves a method to access the internet and the applications needed to partake, such as but not limited to: a web browser, the video conferencing application and a device with audio/video.

  2. DigiMUN does not take any responsibility if the delegate cannot access the conference because they do not have the required technology


3. On participant behaviour and expulsion from the conference

  1. Participants are expected and obliged to obey the laws of the United Kingdom or their respective countries while participating in the events of DigiMUN. All participants are personally responsible for all loss which they cause to, and in and about, the conference platforms.

  2. All participants are expected to treat all parties involved in DigiMUN, including but not limited to, fellow delegates, the DigiMUN Secretariat, DigiMUN chairs and moderators with respect, courtesy, and diplomacy. All participants are also expected to follow the technical rules put in place, including but not limited to, not sharing the conference password and following the admin controls imposed on the video conferencing software.

 

Failure to abide by clauses 3.1 and 3.2 may result in expulsion from DigiMUN and rejection from participation in future editions of DigiMUN. There may also be limits imposed on the privileges a participant has such as but not limited to, the chat function, the private message function and the video function.

 

4. On responsibility and liability

  1. To the extent permitted by law, DigiMUN excludes all liability under or in connection with this Agreement (whether such liability arises in delict/tort, contract, or in any other manner, and whether or not caused by negligence or misrepresentation), including liability for breach of duties expressly imposed or implied by statute, at common law, or otherwise. Further, and without prejudice to the generality of this, and any other provisions in this agreement relating to DigiMUN’s liability:
     1. DigiMUN does not endorse, and accepts no responsibility for participants who, engage in activities which are unlawful, whether in criminal law, civil law, or otherwise, during the conference, :
      1. Participants in DigiMUN shall be liable in full for any additional costs which they incur due to participation in unlawful activities, or any activities which DigiMUN in its absolute discretion deems unbecoming of participants in the conference, or the compromise of any disputes in relation to such unlawful or unbecoming activities; :
      2. To participate in DigiMUN, delegates must be at least 13 years of age at the point of registration and on the first day of the conference;

 

5. On privacy and image rights

  1. DigiMUN reserves the right to use all images and footage of the participants taken during the days of the conference both for communication purposes and to promote further editions of the conference and other uses outlined in the privacy policy.

  2. The DigiMUN Secretariat reserves the right to use all data submitted by individuals and delegations, specifically the contact informations provided, to be used for the promotion of future editions of the conference and other uses outlined in the privacy policy.

  3. Any data kept by DigiMUN will be deleted at the delegate’s request.

  4. All data will be handled in line with DigiMUN’s Privacy Policy. This can be found at digimun.co.uk/privacy

 

6. On intellectual property

  1. The DigiMUN Secretariat and Alasdair Hopwood claims copyright on all data and information available on the website www.digimun.co.uk and digimun.com and all official DigiMUN Social Media, including, but not limited to: the DigiMUN Logo, all Topic Guides, and all the photos and footage.

  2. Any individual wishing to use DigiMUN materials must make an official request to the DigiMUN Secretariat at secretariat@digimun.co.uk and Alasdair Hopwood at alasdair@digimun.co.uk
